How It Works
Overview
Highly trained staff - mother tongue English
Lincoln Lines provides outsourced audio typing services by using only highly trained and highly motivated secretaries. All our secretaries are UK or US citizens who are now based in Israel, and have English as their mother tongue. They are chosen not solely for their ability to type fast and accurately, but also for their ability to communicate directly with our clients.
Client confidentiality - secure data
Owned and managed by a UK qualified lawyer, Lincoln Lines fully appreciates the need for complete client confidentiality and secure storage of all client data. All client data is stored and accessed using secure Internet and data protection security protocols. We will be happy to provide you with exact details on the security provision we have in place to keep your data safe and confidential.
Creating your dictation
Digital dictation recorder
All that is required to start using the service is a digital dictation recorder. There are a variety of digital recorders available and if requested Lincoln Lines can provide guidance on which are the most popular models and brands.
Packaged together with all digital recorders is a simple to use software program that allows you to upload and organize your recordings on your computer.
Workflow management software
For clients that already have in-house workflow management software packages, dictation files generated or stored in such software packages can also be sent to Lincoln Lines. For those clients who would like to consider exploring the use of a workflow management software package, we can provide initial advice on the various workflow packages that are in use.
In many cases mobile devices such as the popular Blackberry handheld PDAs can also be used for direct dictation and such audio files can be sent directly from your Blackberry to Lincoln Lines.
Sending your dictation
Audio files can be sent to Lincoln Lines in a number of ways.
- As an email attachment. A standard email to Lincoln Lines with your voice file attached to the email is a simple and efficient method for many clients. For individuals without large amounts of digital files to manage, this is the simplest method of sending audio files for typing. The audio file recording is attached to a standard email using your regular email program (e.g. Microsoft Outlook) and is sent directly to Lincoln Lines.
- Direct Lincoln Lines account log-in. Lincoln Lines can provide clients with a direct account access to Lincoln Lines own file management system. Using this system our customers can easily upload files to the Lincoln Lines file management system where many options such as prioritizing a files urgency etc can be used.
- Via your existing workflow management system. Clients who are already using such systems can easily send audio files to Lincoln Lines directly from within the workflow software. Via the use of such systems there are a number of additional ways that Lincoln Lines can interact with our clients to suit their individual needs.
Creation of your transcribed document
The file is then transcribed into a Microsoft Word text document by your Lincoln Lines secretary and proof read.
The completed document is sent back to you via the same route which was used to send the original audio file to Lincoln Lines.
Follow up changes to transcribed documents
Our accuracy rates are over 99%. However should you require secondary amendements to the document or revisions to your original draft, this can be communicated via follow-up dictation, fax or document scanning of the latest draft with handwritten amendments or using our 'premium' service, by simply picking up the phone and speaking directly to your Lincoln Lines secretary.
